Procedure
Every person invited to the meeting has to organise its own trip. The location of the meeting is specified on the related web page in this web site on the 'Meetings' tab. Sometimes a list of accommodations is provided too.
If the meeting is located in Ispra the secretary can arrange the booking for you on your behalf (please see below).Anyone from outside the Commission who is invited to give a specific professional opinion in a committee wherever the location of the meeting, is entitled to a reimbursement.
The expense claims have to be initiated by the invited person not before the start of the meeting and not later than 30 calendar days after the final day of the meeting. For more details on the allowances rights please read the 'Allowances' section and read the 'Expense Claims' section to know the reimbursement procedure.
Meeting in Ispra
Meeting in Ispra but NOT at the JRC compound
If your meeting is in Ispra but NOT taking place within the JRC compound we will arrange travel from the airport (Milan Malpensa or Milan Linate, NOT Bergamo) to Ispra AND arrange your accommodation in addition to arranging travel between the actual meeting location and your accommodation if necessary.

Meeting in Ispra and at the JRC compound
If your meeting is in Ispra AND taking place within the JRC compound we will arrange travel from the airport (Milan Malpensa or Milan Linate, NOT Bergamo) to Ispra, arrange your accommodation in addition to arranging travel between the JRC compound and your accommodation.
Coming to Ispra
Arriving at MALPENSA airport
Milan Malpensa is by far the most convenient airport if you are attending a meeting at the JRC.
When you arrive at Malpensa Airport, a pre-paid JRC taxi will be waiting for you in Terminal 1, hall of arrivals, exit no 3, inside the building. MALPENSA TERMINAL 2 Some flights (e.g. EasyJet) arrive at Terminal 2. The transport office will NOT pick you up from Terminal 2. The official meeting points is ALWAYS at Terminal 1, arrival hall, exit no. 3, inside the building. This means that if you arrive at Terminal 2 you MUST take the Shuttle Bus to Terminal 1.Arriving at LINATE airport

Meeting point : Galleria delle Carrozze, exit to the left (the exit close to piazza Luigi di Savoia).
Finding the TAXI DRIVER
Wherever you arrive a taxi driver should be holding a sign with the familiar EU logo (either JRC or CCR). Please note that JRC (Joint Research Center) and CCR (Centro Comune di Ricerca) are the same. If you can't track down the JRC taxi driver phone +39 0332 789558 (9-5pm) or +39 345 2515035 (out of working hours).
JRC Entrance procedure
Research on nuclear safeguards is taking place at JRC Ispra and entrance procedures are particularly strict. A JRC/CCR taxi or bus will come and pick you up on the morning (usually 08:30) of the first day of the meeting outside the entrance of your hotel.
When you arrive at the main entrance of JRC, the taxi or bus will have to let you out so that you can go to the reception (in the right wing of the building) to get registered and receive your special entrance permit. You must present the same ID document - ID card or passport – that you entered in the JRC Events Registration site. Reception will keep your ID card/passport until you leave when you will also have to give back the special entrance permit.
This procedure will be repeated every morning and afternoon during the meeting. On the morning of the first day of the meeting, a JRC representative will come to the main entrance/reception to welcome you and show you the way to the building where the meeting will take place.
